Making Use of Spendable Funds

Below are the forms used to request reimbursement to vendors, departmental accounts, faculty, staff, and/or honorariums. In all cases, original receipts, original invoices, or Level I Financial Reports are required for disbursement of Aiken Partnership funds. Special restrictions exist for the purchase of gifts and meals.

Aiken Partnership Check Deposit Transmittal Form
Gifts you receive in checks or cash to the Aiken Partnership must be hand-delivered to Advancement Services located in the Alumni House. For the safety and security of our donors, please do not send checks and/or cash through the interoffice mail. 

Please prepare the deposit transmittal form within 24-48 hours of receiving any gifts and ensure their delivery to the gift processing office in the Alumni House. If you have any questions, please call us.

Aiken Partnership Request Form
This form must be completed for each request and signed by the department chair and the executive vice chancellor, associate chancellor, or athletic director. The USC Foundation Policy manual contains information about allowable and non-allowable purchases. 

Statement of Responsibility Form
This form must be included with the Aiken Partnership Request Form if a list of recipients is not available at the time of the request for items that the department will be giving out as gifts that are greater than $8 per item. Please note: you are required to have the gift recipient list on file in your department because the USC Foundation can request the list of gift recipients from your department for auditing purposes at any time.

Meals and Business Cultivation Expense Form
This form must be included with the Aiken Partnership Request Form when you are requesting payment for food purchases with less than 16 attendees.  This form is not needed if an employee is being paid for travel expenses. 

W-9 Form
This form must be included with the Aiken Partnership Request Form when we are paying a vendor that the USC Foundations Office has not issued a check to in the past.  If you are uncertain if you need to submit the form, please feel free to contact the Advancement Gift Processing Department at ext. 3334.

Missing Original Documentation Form
This form must be included with the Aiken Partnership Request Form when an original receipt or invoice cannot be provided with the request. This form must be signed by the individual requesting reimbursement and the dean or supervisor of the payee.

Cash Advance Request Form
Please contact the Advancement Gift Processing Department at ext. 3334 prior to requesting Advance requests. 

Data Request Form
A mailing list can be provided for invitations only. For solicitation purposes, please contact Mary Driscoll, Vice Chancellor of University Advancement and External Affairs.

About Endowed Scholarships

Endowed scholarships reflect a donor’s commitment to support a scholarship in a specific area or for a specific purpose with a permanent fund. Contributions are invested to ensure the scholarship retains its value in perpetuity, and the scholarships created by the endowment are funded through the income generated by the endowment.

Scholarships may be endowed at USC Aiken with a minimum gift of $10,000. Donors may also contribute to existing endowed scholarship funds.

Giving to USC Aiken affects not only our students, but also our community and the larger world.  As a public comprehensive institution, our mission is to prepare students for success by challenging them to think critically and creatively, to communicate effectively, to learn independently, and to acquire breadth and depth of interdisciplinary knowledge. Gifts contribute to student success and help the University prepare them for careers in a diverse global environment. About Annual Scholarships

Annual scholarships reflect a donor’s one-year commitment to support a scholarship in a specific area or for a specific purpose. In order to offset student fees and administrative costs, $500 is the suggested minimum level for an annual scholarship.

Donors may give to an annual scholarship for more than one year. USC Aiken is very grateful to those donors who have consistently supported annual student scholarships for many years.

Advancement Services within the Office of University Advancement exists to ensure donor funds are handled with care to meet the needs of our University. We process monetary gifts, pledges, stock gifts, and gifts-in-kind received from donors and alumni. Upon confirmation of receipt in Columbia, the office prepares acknowledgement letters and gift receipts to mail to donors, and when necessary, creates and includes VIP cards and Alumni cards. If a gift is made in “Memory” or "Honor" of an individual, we will create a letter to mail out to the family or honoree.

The Advancement Services Office maintains the budget for unrestricted funds within the Aiken Partnership and prepares financial reports for the Aiken Partnership Board of Directors. The office is responsible for verifying the quarterly Revenue and Expense reports received from USC Columbia to reconcile all account balances. The Coordinator of Gift Accounting serves as the primary staff member on scholarship database development and disbursement. 

One of the ways we provide service to the campus is in assisting campus offices in utilizing funds designated for their use within the Aiken Partnership. It is our responsibility to process all transactions concerning Aiken Partnership accounts including preparing check requests and deposits, transferring funds, and organizing and batching related documents.

Aiken Partnership Funds

The Aiken Partnership was established in 1980 as an affiliate of the USC Educational Foundation. All funds raised by the Aiken Partnership are handled and invested by the USC Educational Foundation but returned to USC Aiken for the University's use. The general purposes of the Aiken Partnership are to further the institution’s quest for excellence in all areas and to support those programs that are inadequately funded or that are not funded at all through the normal channels of state appropriations.

Accounts established with the Aiken Partnership:

Unendowed Accounts

These funds result from contributions through the Aiken Partnership but are not within an endowment. The account number typically has an A in the sequence. 

Endowed Accounts

The spendable amount for these endowments is based on the interest gained on the principal of these endowments. Spendable amounts of these endowments vary depending on the amount in the principal, the length of time the endowment has been established, the amount in the reserve account, and the market performance over the life of the endowment. Endowments generally generate a spendable amount of approximately five percent of the principal each year. The account number will usually have a B or C in the sequence. The USC Educational Foundation makes disbursements quarterly to endowment accounts based on earnings.

Forms

Forms are available to request reimbursement to vendors, departmental accounts, faculty, staff, and/or honorariums. In all cases, original receipts, original invoices, or Level I Financial Reports are required for disbursement of Aiken Partnership funds. Special restrictions exist for the purchase of gifts and meals.
